Our small but mighty team is seeking an Operations Manager to keep projects on track, tools in sync, clients happy, and operations running smoothly — freeing our consultants to focus on transformative client work.
🎯 About the Role
As Operations Manager, you’ll be the backbone of Kumquat’s day-to-day operations. From managing client projects to supporting business administration, communication, and systems improvement — your role is to ensure everything flows seamlessly.
This role starts at 2 days/week and grows to 4 days/week, with flexibility for remote collaboration across borders.
📝 Key Responsibilities
Client Operations
Onboard and plan new client projects.
Draft proposals and manage project timelines.
Prepare client-facing documents, surveys, and slide decks.
Business Support
Prepare newsletters, update masterclass schedules, and manage LinkedIn posts.
Support marketing and visibility initiatives.
Knowledge & Document Management
Keep shared folders, templates, and proposals well-organized.
Standardize documents and set up Notion for internal systems.
Business Administration
Manage contracts, invoices, and payments.
File receipts and liaise with the accountant.
Systems & Tech
Keep Asana, Airtable, Google Drive, and Harvest organized.
Set up a CRM (HubSpot), troubleshoot small tech issues, and explore no-code automation (Make).
Suggest improvements to streamline operations.
Other
Support live events (occasionally in-person).
Stay adaptable as the role evolves over time.
✅ Requirements
Experience
Several years in operations, project management, or executive support.
Proven track record in keeping things running behind the scenes.
Education
Master’s degree preferred, but skills and experience matter more.
Hard Skills
Project management (Asana, Airtable, Notion).
Business tools (Google Workspace, Harvest, Calendly, Loom).
Online meeting tools (Zoom, Teams, Mural, Miro).
CRM setup and management (HubSpot).
AI awareness and ethical use.
Business admin: invoicing, contracts, proposals.
Strong English writing, editing, and formatting.
